Legal Administrative Assistant Duties: Provides comprehensive administrative/clerical support for a team of attorneys. Maintain positive working relationships with attorneys, support staff and clients; observes confidentiality of client and Firm matters. Types, formats, and edits documents. Proofreads copy for spelling, grammar, and content; makes appropriate changes. Organizes and prioritizes large volumes of information. Creates, manages, and maintains electronic and hardcopy files. Opens and closes new matters including conflicts checks; gathers and retrieves information from files when needed. Maintains attorney calendar; plans and schedules conferences, teleconferences, and travel; records and monitors deadlines. Arrange for conference rooms when necessary. Provides administrative support (copy, scanning, faxing, etc.). Answers telephone, greets clients, respond to and assist clients, providing information and assuring appropriate follow-through and/or resolution. Record attorney time, review, process, and finalize bills. Handle all other administrative duties as assigned.
Qualification and Experience
Requirements: 2 years’ experience in Labor & Employment a requirement. Familiarity with federal, state and local procedures a plus. Excellent organizational and communication skills with close attention to detail. Ability to utilize advanced features of Microsoft Office (Word, Outlook, Power Point, Excel), database and presentation software and ability to navigate IRS and government websites. Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, and decision-making skills. High level of interpersonal skills to handle sensitive and confidential situations. Requires demonstrated poise, tact and diplomacy. Ability to gather and summarize data for reports, finds solutions to various administrative problems, and prioritizes work. Ability to use standard office equipment, including personal computer, copier, scanner, typewriter, facsimile, telephone, dictation machine, etc. Keyboarding skills of 60 wpm or higher required.
