Legal Secretary The candidate inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Files legal documents in federal courts and state courts; prepares legal documents for service of process. Prepares case 'shell' documents for use by attorneys. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Delivers paper faxes as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow and absence assistance and secretarial support for Secretaries' attorneys. Other duties and projects as assigned. Screens telephone calls, listens to voicemail and records messages. Schedules appointments and makes arrangements for meetings, conferences and travel. Sends time entry reminders and tracks entries. May enter attorney time. Receives clients and visitors. Reviews and prints email messages. Processes client billing. Reviews and edits bills as necessary. Must have typing speed of 65 wpm with proficiency in Microsoft Programs (Word, Outlook, Excel). Legal citation and legal terminology expertise is required. Strong experience with state and federal court filing procedures is needed. Excellent grammatical and spelling skills are essential. Familiarity with Carpe Diem, Elite, document management systems, Chrome River is a must.
