Legal Secretary Duties: Responsible for providing full support to attorneys. Performs various functions to support the efforts of the office to serve clients. Handling phone calls, producing written work under the supervision of attorneys, performing various fiscal duties, and performing other tasks on a client’s case permissible for non-attorneys working under the supervision of an attorney. Maintain high level of professionalism and ensure confidentiality. Treat clients, staff, volunteers, board members, etc., with dignity and respect. Offer assistance to co-workers as needed. Demonstrate initiative by actively participating in the resolution of problems. Ask for assistance when learning new information or job duties. Take all necessary measures to properly use and maintain supplies and equipment. Respect the rights of co-workers to a productive workplace. Requires cooperation with the Agency’s Quality Assurance and Improvement Program. Includes actively participating in all required trainings, and in creating a culture of quality improvement. Cooperation with the quality program will be considered for performance reviews. Requires cooperation with the Agency’s Compliance Practices. Includes immediately reporting issues, actively participating in required trainings, following HIPAA regulations, and assisting in creating a culture of compliance. Also includes compliance with written standards and all applicable federal and state laws. Cooperation with compliance will be considered for performance evaluations. Not currently listed as excluded or sanctioned by the Department of Health and Human Services, Office of Inspector General (OIG), the General Services Administration (GSA), or excluded from participation in any federal program. Agrees to promptly notify supervisor in the event of any such debarment, exclusion, conviction, threat or indictment occurring during the term of employment. Failure to comply with the Agency’s Compliance Practices, which include failure to report conduct or events that potentially violates any laws or the Agency’s written compliance standards will be met by disciplinary action, up to and including possible termination. Must adhere to all practices specified in the Employee Handbook and Agency Operating Procedures. Interviews clients to gather facts and witnesses. Types and prepares correspondence, reports, motions, pleadings, petitions, wills, successions and other legal documents as directed by attorneys. Keeps computerized appointment calendar and help attorneys organize their time and cases. Operates/ maintains office machines, e.g., copier, computers, etc. Performs functions of intake and reception as required, including but not limited to the following: Answer the phone, greet visitors, handle incoming and outgoing mail, distribute mail and interoffice mail, open and close files, etc. Input the application on the computer for legal assistance. Work to make sure computer records are accurate. Interview applicants to determine eligibility for services and conduct legal assessments to determine legal needs of applicants. Unclear cases and cases requiring exceptions are referred to the managing attorney of the office or unit, or the attorney assigned to make these determinations. Maintain an ample supply of various forms needed for intake as required by federal regulations or firm policies. Set appointments for intake and interview. Responsible for making sure that retainers and all other required forms are signed by every applicant. Maintains open client files, e.g., prepare files according to firm guidelines, file all incoming documents and/or correspondence and keeps notes in the file on any conversations with the client. Contacts clients, clerks of courts, judge’s offices, opposing attorneys etc. as specifically directed by attorneys. Participates in public awareness/ outreach / education activities. Receives and screens all incoming calls to the office. Transfer calls to appropriate personnel, transfer call to voice mail and take accurate messages when necessary. Makes sure that electronic recordings on firm voice mail are accurate, for instance announcing that the office is closed for a holiday, and changing the message back to the original. Opens, closes and files case records for the office. Performs routine and brief typing assignments as directed by supervisor. Keeps referral information up to date and organized for access by other staff members. Keeps reception area presentable, insure comfortable, friendly atmosphere. Ensure that office brochures are available in the lobby. Routinely discard out of date magazines, postings, etc. in the lobby and work to make sure that new materials are set out. Maintains client confidentiality. Compiles reports as directed. Maintenance of statistical date for and input into the CAREWare databases. Assist with audits. Assists others such as assigned attorneys in compiling reports. Types own work. Keeps records on the computer of how their time is spent at work as required by regulations. Assists attorneys with timekeeping recording as required. Picks up the mail for the office. Learns and applies all necessary computer skills for performing work, including, but not limited to: checks e-mail at least once daily. communicates by e-mail. performs word processing work. retrieves and updates client database records as needed. Performs any other duties deemed necessary to accomplish the goals of firm, as directed.

Qualification and Experience

REQUIREMENTS: High School graduate. 2 years' experience in legal field or public education experience in community. (Course work in related fields beyond high school can be substituted for experience). Excellent communications skills. Ability to communicate with general public. Ability to read, understand and interpret laws and regulations. Professional, friendly, courteous and sincerely interested in the client community. Knowledge of local client community. Experience with computer word processing. Familiarity with use of office machines. Typing 40 wpm. Law office experience preferred.
