Document Service Manager Duties: Provides strategic and hands-on operational support for document production and editing utilizing Windows 7, Microsoft Office 2010 (Word, Excel, PowerPoint), Microsoft Outlook, Visio, Litera Change Pro, Nuance PDF Converter, Adobe PDF Editor, iScrub, Carpe Diem, document management systems such as Imanage and/or DM5 and any other related new or updates software provided by the firm or required by the client. Plans, directs and leads the departmental team members in the achievement of timely and accurate delivery of services. Responsible for recruiting, selecting, orienting, training, assigning, scheduling, coaching, counseling, enforcing policies and procedures and disciplining team members to achieve optimal individual and departmental performance results. Coordinates and distributes work assignments, monitoring deadlines and ensuring appropriate staffing assignments to meet communicated time limits. To meet the global needs, augments staffing plans to assure continual and timely coverage seven days a week, twenty-four hours a day. Defines and coordinates training plans, both initial and ongoing, to ensure departmental personnel are skilled, proficient and highly competent to support all document services functions. Development and management of departmental personnel budget inclusive of planning and forecasting personnel needs, utilization of personnel, and reporting and management of variances. Implements and monitors production, productivity, quality and client service standards; resolving issues; completing internal audits; identifying client service trends; determining improvements; and implementing change. Determines and implements best practices and leading edge technology assistance supporting client service needs by maintaining contact with key internal clients; conducting surveys, forming focus groups or studies, benchmarking best practices. Establishment and communication of service metrics, monitoring and analyzing results and implementing best practices. Partners with clients concerning any negative feedback regarding work product and established expectations. Troubleshoots document issues and investigates escalated issues or requirements; Coordinates with other staff members, technical personnel and/or vendors to solve problems as required. Ensures results and internal and external clients’ expectations are exceeded. Builds strong working relationships with key internal clients, including IT, secretarial services, business development, practice support and other business services teams. Takes actions to develop and foster a high performance culture, assuring values of excellence, client focus, one team worldwide, commitment to success and good citizenship are achieved within the department. Qualification and Experience
Qualifications: BA/BS degree preferred. MOS Certification preferred. 3 years supervisory or managerial experience in a professional services environment. 5 years’ Word Processing or Legal Secretarial experience . Proven track record of workflow coordination. Comprehensive knowledge of legal practices and terminology, Microsoft suite, document management systems and advanced applications. Excellent communication skills. Ability to be flexible and adaptable to meet heavy work load. Demonstrated skills in client service, process improvement, managing processing and emphasizing excellence.
