Legal Secretary (Business) Duties: Provides legal secretarial support for attorneys. Performs legal secretarial duties requiring specific knowledge of related standards and procedures. Responsible for maintaining legal and administrative forms and file/records management. Drafts legal documents and correspondence and researches case information on computer databases. Assists attorney(s) with preparation of a wide range of legal documents including wills, trusts, probate pleadings, corporate documents, entity formation documents, and other legal documents under the attorney s direction. Schedules hearings, maintains calendar, and tickler system for all deadlines. Assists in preparing for hearings, trials (both jury and non-jury), file preparation, coordination and interview of witnesses, exhibits, and basic research. Prepares correspondence under direction of attorney(s). Closes or directs closing of files for transfer to archives. Screens telephone calls, visitors, and answers and directs inquiries to appropriate attorney. Performs various clerical duties including but not limited to: opening and routing mail, typing, filing, copying, and record keeping. Researches case information. Files legal pleadings and other documents with various courts; delivers judgments, and orders for signature by judge. Maintains and controls all physical and electronic files for the attorney(s) to which the secretary is assigned; may have the assistance of a File Clerk. Schedules appointments; accepts or refuses invitations; makes reservations; coordinates and organizes meetings; makes travel arrangements; maintains calendar for attorney(s). May serve as backup to other secretaries as needed. Contributes to a positive work environment. Qualifications: High school diploma or GED; some college preferred. 2 years' legal secretarial experience. Excellent MS Office (Word, Outlook, PowerPoint, Adobe) skills. Excellent verbal, written, and interpersonal skills. Ability to multi-task with accuracy. Familiar with e-filing. Must demonstrate close attention to detail. Must maintain confidentiality. Ability to read and interpret written information. Balances team and individual responsibilities. Contributes to building a positive team spirit. Knowledge of Microsoft Word, Outlook, PowerPoint and Adobe.
