Executive Legal Admin Specialist The candidate will: Manage communications for the global team and coordinate meetings; Manage preparation for each Board and Committee Meeting by preparing minutes and board materials and working directly with the CEO’s Executive Assistant; Manage communications and liaise with the Board of Director members, their staff, and the global Executive team and their assistants to prepare for Board and Committee meetings; Manage communications and liaise with the global Executive team and their assistants to prepare for meetings; Manage agendas, materials, projects and program plans including generating reports and presentations; Manage legal vendors and law firms, including the billing and invoicing processes; Manage and execute key department technology and knowledge management assets; Manage and execute key projects to streamline and drive efficiencies and implement on-going process improvements and change initiatives; Identify important matters requiring attention (in the absence of department staff) and handle or resolve them appropriately; Manage calendars, travel itineraries, agendas and commitments to ensure priorities are met; Handle and maintain highly confidential and sensitive information. Other duties or projects as assigned or apparent.
Qualification and Experience
The candidate should have BA/BS degree or equivalent combination of education and experience. Should have 5+ years of corporate legal or law firm experience. Excellent interpersonal skills and ability to build relationships, including Board members and their assistants, Executive team, global employees, and external vendors. Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Demonstrated capacity to prioritize and manage multiple projects simultaneously. Proficient in achieving high performance goals and meeting deadlines in a fast-paced environment. Highly resourceful team-player with excellent judgment and highly developed decision-making skills. Expert level written and verbal communication skills. Highly proficient in Office applications and technologies including Word, Excel, Access, Outlook, PowerPoint, SharePoint, etc.
