Legal Secretary Duties: Performs secretarial and administrative functions for attorneys requiring knowledge of format procedures, practice specific tasks and specialized terminology. Assigned to attorneys to support specialized legal practice areas and is supervised by the Office Administrator. Type and edit memoranda, correspondence, financial documents, charts and tables using various software applications. Gain thorough working knowledge of software applications through Firm training as tools to complete assigned tasks. Gain thorough working knowledge and familiarity of transactional and financing documents used regularly. Prepare correspondence from dictation. Create and maintain spreadsheets for tracking deals, matters, invoices, reimbursements, and more. Proofread finished documents. File documents with government offices/agencies in compliance with rules set by that agency at all levels. Maintain attorney’s calendar. Open and sort incoming mail. Schedule appointments, set up conference calls, arrange meetings, schedule conference rooms and/or make travel arrangements. Receive/screen incoming calls, take messages and retrieve voicemails per attorney preference. Interact professionally with clients by telephone, email or in-person. Send faxes, make photocopies, scan, and convert and export/import documents to/from other applications. Maintain electronic and hardcopy files in accordance with the Firm’s Records Retention Policies and best practices for that section. Process attorney weekly time summaries, review billing pro formas and prepare monthly invoices. Open new client files and sub-files following Firm’s procedures. Prepare and update subfile lists and indices for client files. Process attorney reimbursements and check requests using Firm applications and procedures. Other tasks as assigned. May spend more time on administrative tasks, such as managing electronic and hardcopy paper flow of client and attorney documents or coordinating projects with other attorneys and staff, rather than typing and revising documents. The tasks performed day-to-day will vary each day and depend on the practice area and attorney preferences. Each secretary is expected to meet and ultimately exceed the minimum skills requirements identified for secretaries through training and practice. Assignments may change from time-to-time and flexibility is essential. Secretaries are expected to offer support and service not only to all assigned attorneys, but any attorney within the practice group, office or Firm.
Qualification and Experience
QUALIFICATIONS: 5+ years legal secretarial experience in transactional or financial areas of law, with project finance experience preferred. Requires expertise in Word and Outlook 2010, as well as have working knowledge of other Microsoft Office 2010 software applications (such as Excel and PowerPoint) and Adobe Acrobat. Candidates must have accurate typing skills of 85+ w.p.m., excellent proofreading skills, and have the ability to operate the Firm specific software applications including customized tool bars and table styles at an advanced level within a reasonable period of time. Strong organizational skills and communications skills, both verbal and written; must exhibit an attention to detail, conscientiousness, versatility, professionalism and reliability, and an ability to work well as a team member and with personnel at all levels. This position requires flexibility to work overtime if needed to meet deadlines. High school diploma or equivalent required, degree preferred.
