Legal Secretary Candidate will be responsible for general administrative duties for the legal department, which handles legal issues for all firm’s companies. Will ensure that both physical files and electronic databases are maintained in a neat and organized manner in accordance with internal policies and procedures. Will also be responsible for maintaining the physical and virtual filing system, contract binders and assisting with general projects and clerical support. Prepare and process legal documents and papers, such as litigation documents, contracts, correspondence and memoranda. Mail, fax, or arrange for delivery of legal correspondence inside and outside of the corporation. Take direction from the attorneys and corporate paralegal(s). Enter contract and issue data in databases for the purpose of tracking information. Maintain, organize, and periodically audit both physical and virtual files in accordance with the department filing system. Input data in approved contract forms for review by Legal Department staff. Typing dictation. Proofread documents prepared by attorneys and corporate paralegals. Handle confidential information in a professional manner. Photocopy, mail, scan and fax documents as requested. Organize all documents as they are received by the Legal Department. Answer the telephone to provide general information and take messages. Coordinate and set-up meetings as requested.
Qualification and Experience
Candidate should have a High School Diploma/GED. Legal Secretary Certification is preferred. Previous legal department or law firm experience, preferably 5-10 years is essential. Must possess an ability to use Microsoft Word, Microsoft Excel, Microsoft Outlook, Adobe Acrobat Pro, Microsoft Share Point.
