Legal Systems Analyst The candidate will be responsible for managing the Company’s outside counsel billing program (CounselLink), internal document and information database (SharePoint) and Records Management System (RMS). Interfaces with all members of the Legal Department, other members of the organization, and outside counsel for the purpose of collecting, managing and exchanging information. Key Responsibilities: Identify, oversee implementation and manage new tools and systems to support the company’s litigation and corporate files, Records Management System (RMS), Contract Management System (CMS) and Legal Database (SharePoint). Manage the Company’s outside counsel billing program (CounselLink) to ensure that matters are opened and invoices submitted and paid in an appropriate and timely manner. This includes, but is not limited to, opening and closing matters in CounselLink and ensuring that invoices are being submitted in accordance with the Company’s Outside Counsel Guidelines and pursuant to the agreed upon fee structure. Prepare and manage new litigation files, including organizing, and maintaining electronic and hard copy correspondence, discovery, pleadings and other legal records in the Company’s Records Management System (RMS) systems and other databases. Through spreadsheets, and eventually systems, track litigation matters, legal spend to budget, record requests and other general legal department analytics. Build and manage dashboards and other analytics to identify opportunities to reduce legal spend and improve efficiency and effectiveness. Work with corporate litigation attorneys, case managers, paralegal(s) and/or external attorneys in the preparation of all court-related pleadings, documents and exhibits. Act as liaison among various internal departments as well as with outside agencies and outside counsel. Oversee the progress of documents through litigation support departments and fulfill requests from inside and outside counsel and case managers. Assist paralegal(s), corporate litigation counsel, case managers and outside counsel with preparation of documents in response to discovery requests and/or subpoenas and dissemination of legal holds. Must be able to work comfortably in a fast-paced, high energy environment with a keen ability to organize and prioritize under only general supervision. Continue to identify and explore new ways with new technologies to enhance the effectivenss of the legal department. Team work and sense of urgency as required. Must maintain a high level of confidentiality at all times. Additional Responsibilities/Requirements: Perform duties in compliance with applicable FDA and state regulations as well as standards including, but not limited to, ISO 13485. Nature and Scope: Applies principles, concepts, practices and standards of a professional field to complete a variety of on-going assignments and projects. Normally receives general instructions on routine work, detailed instructions on new projects or assignments. Works on problems of moderate scope; exercises judgment and independently identifies next steps. Analyzes quantitative information and applies professional judgment to resolve a variety of moderately complex problems. Builds productive internal/external relationships; actively represents area in inter-departmental projects. Impacts team effectiveness through the quality of own work and potentially the work of others.
Qualification and Experience
The candidate should have Bachelor’s degree with 1 - 2 years of related experience and/or training; or equivalent combination of education and experience. Will have law firm experience working closely with litigation and corporate secretaries, paralegals and attorneys and a strong background in electronic databases, billing systems, and electronic discovery. Must have solid understanding of all types of legal documents (i.e., pleadings, discovery, and correspondence). Strong organizational, follow-through and communication skills are required. Advanced level proficiency with word processing (Word), spreadsheets (Excel), presentation programs (PowerPoint) and databases (SharePoint and CounselLink). High level of competency in navigating the Internet. Ability to read and interpret documents such as company policy and procedure manuals. Ability to speak effectively before groups of customers, employees, and management of organization. Ability to read and interpret business reports, profit and loss statements, and related business correspondence. Ability to calculate figures and amounts such as discounts, interest, proportions, percentages. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
